Every engagement moves through a deliberate sequence — from the first request and proposal to agreed commercial terms, production, delivery and continuing client access.
A project begins through Discuss an Idea. The submission is recorded in Account Requests and linked to the client account when signed in. If Keynex needs further detail, questions or requests for supporting information remain attached to the same request. New activity is surfaced through Messages and Notifications, while replies, files and context remain together throughout review.
Once the request has been accepted and the scope is sufficiently clear, Keynex prepares the proposal under Account Quotes. It defines the agreed scope, deliverables, price, payment terms and relevant conditions. Drafts remain internal until sent. The client can then review the proposal and its documents and accept or decline it from the account.
Acceptance records the client's approval of the proposal and establishes the commercial basis for production. It does not by itself unlock the product. Whether Keynex can begin immediately depends on the agreed payment mode: upfront and staged arrangements may require commencement payment, while after-delivery terms allow production to begin before final payment.
The accepted proposal determines when production is permitted to begin. Upfront and split plans can require a commencement invoice and confirmed payment before work proceeds; after-delivery terms allow work to begin without an initial payment. Any applicable invoice appears under Account Invoices and follows the accepted payment schedule.
When the product is delivered, it appears under Account Projects as its continuing client interface, not simply a delivery record. The project page brings together status, delivery information, files, relevant links and product controls. If a final invoice is the delivery gate, access can remain restricted until payment is confirmed. The corresponding product access is then unlocked for the client.
What began with servers and communities grew into years of building platforms, infrastructure, automation and systems that had to work together. Founder's Story follows Donny Sterkeboer's journey from NxRealm to Keynex — and the experiences that continue to shape how Keynex is built today.
A launch is one moment in a much longer product life. Keynex can remain close to the systems it builds — helping them stay operational, adapt to new requirements and grow alongside the people and businesses that depend on them.
Infrastructure, deployment and the operational parts around a product can remain connected after delivery, so the system does not become something a client simply has to figure out alone.
New functionality, integrations and workflows can be introduced later as the product develops and new needs become clear. The first version does not have to define the last.
Where useful, the people operating a product can be given focused tools for the work around it — from content and information to administration and specialised workflows.
Long-term involvement should not mean unnecessary dependence. Products can remain understandable, maintainable and portable as infrastructure, ownership or operational needs change.
The goal is not simply to keep technology running.
It is to keep it useful as everything around it changes.
A new capability. A better workflow. A different direction. Or something that was never part of the original plan.
When there is a reason to keep building, the product already has a foundation to build from.
